How do I edit a service code?
To start, select a service code from the proper category and click edit. On the Edit Service Code window we have several fields to be edited.
Code
Enter the Service Code number in the code field. Use a number that has not been used previously. Note: The Code field is used for the five digit ADA code. If you are creating your own code, you can use any number that has not yet been used.
Office Code
Enter your office key or abbreviation. You can enter up to 5 letters in this field. These letters should be entered as lower case. Note: The Office Code can be typed on a patient’s Transaction scree-n instead of the actual code. For example, you would type “FMX” instead of the ADA code for full mouth x-rays. You can create your own Office Code.
Description
Type in the description of the new code. Capitalize as needed. The description will appear exactly as it is typed on receipts and statements!
Friendly
Friendly – This is a future feature.
Spanish
This field is optional and can be used when printing Spanish receipts and statements. The patient must have an L in their Account Type field on their Patient Information screen.
Fee 1-4
Enter doctor’s fees under Fee 1 if applicable. For example, a Preventive code would always have the same fee so you would enter your fee in this field. However, a Discount code would have various discount amounts so you would leave the field blank in this case. There are four fee schedules available for doctor fees. For example, an office with multiple providers may each have their own fee schedules. If your office only has one standard fee schedule, you will enter all your fees under Fee 1. Do not use this area for insurance fees. If you office has Managed Care plans, you will enter the fees in the insurance plan screen.
Type
MOGO will automatically fill in this field based on the Category button you selected. You can also click on the gray box to select a Category. You will click to select from the list. This column will categorize the services as a 1-Charge, 2-Credit or 3-Admin(istration). You must have a Type for each new service code. If you do not select a type, MOGO will say “All codes must have a Type.”
Category
MOGO will automatically fill in this field for you based on the Category button you selected. You can also click on the gray box to select the correct category for this service. You will click at this field to select from the list. Categories can be selected for Charge, Credit and Administration Types. This column is used when gathering data for reports.
You must select a Category for any code that has been listed as a Credit under the Type column, and it is recommended that you enter a Category for all codes. If you do not select a Category, your Service Code list will not be organized according to Category.
The following Category selections are available after selecting the Type of 1-Charge: Diagnostic, Preventive, Restorative, Endodontic, Periodontics, Pros-Remove, Maxillo Pros, Implants, Pros-Fixed, Oral Surgery, General Service, CPT, ICD, Reimbursement, Non-Sufficent Fund (NSF), Tax
The following selections are available after selecting the Type of 2-Credit: Credit, Patient Payment, Primary Insurance, Secondary Insurance, Discount, Adjustment
The following selections are available after selecting the Type of 3-Administration: To Do List, Letter Management, Silent Codes, Refund
Subcategory
Click on the gray box to select a Subcategory. A Subcategory must be entered for all codes that are set up with a Category of Patient Payment. Your choices will be Cash, Check, Credit Card, or EFT (Electronic Fund Transfer). You will click at this field to select from the list. This information will be used for reports. For example, your Deposit Slip will list these subcategories separately. Tip: If you accidentally opened the Subcategory list, you can just click on another field to close the list without making a selection.
The Subcategory of EFT is used for Electronic Fund Transfers. It prevents electronic payments from appearing on the Deposit Slip.
Electronic Fund Transfer payments are often used when monthly capitation plan checks are received.
Tax Rate %
This is optional and is used when an office must calculate a tax percentage for services.
Cross Ref.
This is the cross reference field. You can enter one additional code in this field. Any code that appears in this field will always appear on the Transaction screen in addition to this new code. This is optional.
Billable
Click on Yes if you would like this service code to appear on the patient’s bill or click on No if you do not want this service code to be listed on a patient’s bill. This field must be entered. In most cases, you will select Yes at this field. “Yes” means that this Service Code will affect the patient’s balance.
Letter
You can be prompted to print a specific letter when enter a code on the patient’s Transaction screen! Select the filename of the letter by clicking on the box at this field to open a list of all the letters in MOGO’s Word Processor. Tip: This would be an easy way to print an instruction sheet after starting endodontic treatment!
Stop the cursor at the following fields:
The cursor movement determines the selection windows that will open in the Patient Transaction screen when treatment is entered. For example, “Yes” in the Date column will open a calendar when the code is entered on the Transaction screen . You can click on each selection or click on Yes to all or No to all.
Tooth number will have a choice of Adult or Child. This determines whether the permanent or primary tooth chart opens when entering the transaction.
Surface will have a choice to enter the number of surfaces. By marking the number of surfaces, MOGO will remind you that you need to enter the correct number of surfaces if you make a mistake!
